Missed Call Answering for Contractors: Stop Losing Jobs to Voicemail

You can't answer with your hands full, and the caller moves to the next name. The four ways to handle missed calls, what a good workflow captures, and how to set it up without changing your number.

Why a missed call is a lost job

You are under a sink, on a roof or in a crawlspace, and the phone rings. A homeowner with a leak, a dead furnace or a tripped panel is not going to wait for a callback. They try the next contractor on the list, and whoever answers first usually gets the work. Voicemail rarely saves it: most people searching for a contractor right now do not want to leave a message and wait.

An example, using made-up numbers you can replace with your own: if you miss 10 calls a week and half of them would have become a $300 job, that is $1,500 a week. The fix is not a better voicemail greeting. It is making sure every call gets answered by something that can take down the job.

Four ways to handle missed calls

OptionWhat it doesWhere it falls short
VoicemailRecords a message if the caller chooses to leave one. Most callers hang up and call someone else. You get no address, urgency or photo.
Missed-call text-backTexts the caller after they hang up.Starts after the caller has given up. Works only if they are still waiting.
Human answering serviceA person answers and passes you a message.Usually priced per minute or per month, quality varies by agent, and a message is still just a message. Get quotes and ask what they capture.
AI receptionistAnswers 24/7, asks the right questions, texts for a photo and drafts the next step.Needs your approval on prices and bookings, and has to be set up for your trade. See the AI receptionist guide.

What a good missed-call workflow captures

Whatever you use, a missed call should end with these in your hands, not just a phone number:

  • The caller's name and callback number
  • The service address, checked so a mishearing does not send you to the wrong street
  • What is wrong, in their words, and how urgent it is
  • A photo of the problem when it helps you price the work
  • When they would like you to come

With those, you can quote or book in one reply. Without them, you spend your evening calling people back to ask the questions that should have been asked while they were still on the line.

Keep your number and answer only what you miss

You do not need to give out a new number or send every call to someone else. Conditional call forwarding sends only the calls you do not answer (or that arrive while you are on another call) to your answering service, while your phone rings first. It is a one-time setup on your phone or carrier. Our call forwarding guide has the exact steps for AT&T, Verizon, T-Mobile, the big Canadian carriers, Android, iPhone, VoIP and landlines.

How DispatchAI handles it

DispatchAI answers the calls you miss, asks what is wrong, where and how urgent, texts the caller a link to send a photo, and drafts an estimate priced against your own rates. Nothing goes to the customer until you approve it, and an emergency alerts you the moment the call ends. You can talk to the assistant first, or read how the 10-day pilot works. Pricing is on the pricing page.

Questions

What is missed call answering?

It is anything that picks up the calls you can't: a person, an answering service, or an AI receptionist. A good one captures who called, where the job is, what is wrong and how urgent it is, so you can respond with the facts in hand instead of calling back blind.

Do I have to give out a new phone number?

No. You keep the number on your truck, website and Google listing. You forward only the calls you don't answer, so your phone still rings first. See the call forwarding guide for your carrier.

Is a missed-call text-back enough?

It helps, but it only starts a conversation after the caller has already hung up. Many callers have moved on by then. Answering the call itself, and then texting, keeps the job in your hands.

What should happen on an emergency call?

The caller should be recognised as urgent on the call and you should be alerted immediately, not at the end of the day. DispatchAI flags emergencies and alerts you the moment the call ends.
